1. Booking & Deposit Policy
To confirm a booking with Kilimanjaro Rote Company, we require a 10% non-refundable deposit. A booking is only considered confirmed once the deposit has been received and the client has provided a copy of the bank transfer slip.
The remaining balance must be paid at least two months prior to the tour start date. For payments made via bank transfer, clients must ensure that all international bank charges are covered, allowing Kilimanjaro Rote to receive the full payment amount.
2. Cancellation Policy
All cancellations must be submitted in writing—email is acceptable.
- Deposits are non-refundable, except in cases where the cancellation is initiated by Kilimanjaro Rote Company.
- If a client chooses to postpone the tour after paying a deposit, the amount will be transferred to a new travel date within 12 months of the original booking.
- Kilimanjaro Rote is not responsible for policy changes by accommodation providers or airlines, and such changes will be applied accordingly.
3. Travel Insurance
All clients are required to have valid travel insurance appropriate for the nature of the tour. The insurance should cover, but is not limited to:
- Medical and emergency evacuation expenses
- Repatriation costs
- Loss or damage of personal belongings (e.g., camera, money, bags, binoculars)
- Trip cancellations or interruptions
4. Liability
Kilimanjaro Rote Company acts as a facilitator for services provided by hotels, lodges, airlines, transport companies, and other third parties. We are not liable for delays, losses, injuries, damages, or changes to the itinerary resulting from the actions or negligence of these providers.
While we ensure a high standard of service, clients participate in all activities at their own risk and are responsible for safeguarding their personal belongings throughout the trip.
Unpredictable events such as adverse weather, road conditions, or operational challenges may require adjustments to the itinerary. Kilimanjaro Rote will always act in the best interest of the client, but cannot be held responsible for these unavoidable changes.
